Puma Energy is recruiting a Lubricant Warehouse Supervisor (m/f), to be based in Windhoek, Namibia.
Duties
  • A Control Sensitive Position that ensures the safe and efficient storage and distribution of packaged lubricants and ensure that orders are satisfied correctly as per SAPS/ISO 14001/9001 and OPS Excellence requirements
  • Supervise performance of staff and contractors
  • Carry out stock count/stock reconciliations daily, at opening and closing of the day
  • Champion of HSE deliverables in the depot i.e SAPS, Operations Excellence, ISO 14001/9001, Internal Audits, ERB, ZEMA, ZABS
  • Provides working materials and resources for staff
  • Accountable for the security of the yard and sales building
  • Sales Building & Equipment maintenance
  • Responsible for product receipts and product deliveries
  • Accountable for product storage and handling
  • In charge of managing First In First Out (FIFO) for all lubricants
  • Responsible for the house keeping of the Lubes Depot
  • Roles and responsibilities:
  • Ensure performance contracts at the beginning of the year and Monthly performance reviews and end of year performance appraisals
  • Daily closure of mass balance
  • SAPS Level, Operational Index Level, Number of Non-conformances in RIVO
  • Number of unresolved Audit Items
  • Number of equipment /building failures
  • Number of planned maintenance vs. actual Zero variations on packaged product
  • Volume and value of packaged product unexplained write off Number, frequency and value of package delivery disputes
  • Optimize unit operating cost of the depot
  • Ensure all Non-conformances are entered in Rivo Safeguard
  • Achieving the required level of focus in every aspect of the depot operation.
  • Providing guidance and support to staff under Lubes Yard Controller, not only to meet performance targets but to ensure increased awareness of lubes operations and beyond.
  • Ensure proper housekeeping of Warehouse
  • Ensure only authorized personnel operate the forklift
  • Adhere to ‘FIFO’ policy at all times in the stacking and loading of product– i.e. first in first out.
  • Submit slow moving items and dead stock and report monthly to the Lubes Depot Manager.
  • Maintain zero loss/gain on all packaged lubricants
  • Compile all in transit losses/leakers daily for monthly reporting to Lubes Depot Manager
  • Responsible for equipment such as scales, forklifts used in receipts or issues of product are properly maintained, calibrated and certified for use to ensure test equipment is operated to PUMA standard
  • Responsible for daily physical stock reconciliations and reconciled against accounting records (Navision)
  • Maintains strict quantity controls on stocks and deliveries including losses/gains/re-grades and continually monitors the stock ownership position
  • Maintain strict quality controls by having updated Material Safety Data Sheets (MSDS), technical data sheets and certificates of quality of all products in the depot
  • Only authorized orders in Navision by the Lubes Depot Manager and documentation are loaded
  • Loading documents not used to be properly cancelled to ensure documents are not reused, or modified
  • Trucks loading product from the depot are not loaded above the rated truck capacity and not resulting in non-compliance with statutory requirements
  • In case of none availability of the system all manual transactions are processed immediately the system is up and running
  • Stock adjustments of gains/losses must be booked with proper investigation
  • Leads, the lubes depot team to deliver outstanding performance on EHS, Customer service and Operating Standards
  • Sets performance contracts, conducts quarterly reviews and implements measures to optimize performance
  • Ensure Training at Work with continuous task observations and filed
Requisites
  • Diploma in technical or Business field
  • 3 years of logistics operational experience
  • Extensive knowledge of depot procedures, supply and operations and knowledge of other Operating Performance Unit (OPU) strategies and plans, particularly markets
  • Product knowledge will be an added advantage
  • English language required
