Oryx Proprties is recruiting a Portfolio Manager, to be based in Windhoek, Namibia.
Description
  • The Portfolio Manager will be responsible for the management of the properties that form part of the Oryx Properties Limited portfolios. The function includes retail centres as well as commercial, industrial and residential properties. He/she is also part of a Management Committee with a strategic role on ensuring the portfolios are managed to achieve the Strategy 2025 goals
  • The Portfolio manager optimizes the value of the properties through maximizing the income and controlled expense management of each individual property within his/her portfolio
  • The Portfolio Manager will be responsible for the compiling of the annual budgets for each individual property in line with the strategy for each said property as provided by the Asset Manager
  • On a day-to-day basis, the Portfolio Manager will manage a team consisting of a Centre Manager, Facilities Manager/Coordinator, Facility Assistants as well as Leasing Manager and will work closely with the Back Office staff to ensure that debtors are managed strictly in terms of the approved guidelines as provided by the Manco
  • The Portfolio Manager will endeavour to provide exceptional customer service and will focus on improving and maintaining reaction turnaround times through proper stakeholder engagements
Duties
Leasing
  • The Portfolio Manager will be responsible to identify new tenancies and opportunity
  • Manage the rental income streams of the individual properties by ensuring that lease agreements are renewed on time at market related rates
  • Understanding tenant performance through turnover analysis
  • Manage the leasing administration process to ensure the integrity of the document, timeous conclusion, and adherence to budget guidelines and legislative requirements
  • Drafting offers to lease, lease agreements, addenda, cancellation agreements, cessions and assignments and any supporting leasing documentation timeously and accurately
  • Building and maintaining professional relationships with third-party property professionals, which also includes SA nationals, to ensure that portfolio vacancies are addressed expeditiously
Marketing
  • Understand the market positioning of each property in the portfolio
  • Approve with the Centre Manager the annual marketing plan and budget
  • Ensure the tenant's buy-in into marketing activities and events and that tenants get the necessary exposure through these
  • Maximize the shopping experience by delivering an excellent service to the tenants as well as to the customer of the centres
Operations
  • Manage the expenses of the portfolio in terms of an approved budget
  • Planning and managing the preventative maintenance programmes of each individual property
  • Building and maintaining professional relationships with external service providers to ensure quality and urgency of maintenance related tasks
  • Managing regular inspections and report back on the individual properties in the portfolio
  • Responsible for all service level agreements in terms of the validity thereof as well as the safekeeping thereof and ensuring monthly meetings takes place and minutes are recorded to improve on service deliverables.
  • Responsible for the risk management of each property by ensuring regular planned risk assessments are done on all levels and risks are addressed on time
Finance
  • Manage rental recoveries to ensure adherence to the terms and conditions of the lease agreements
  • Compile the annual operational budgets of each individual property as well as assisting in the preparation of the annual capital budgets
  • Preparing portfolio performance reports and presenting same to the Manco on a monthly basis
Requisites
  • Strong sales background in the real estate environment, preferable in the retail leasing and marketing environment
  • A Master's Degree in Property Management/Development/ Commerce/Finance or an MBA or similar, proven commercial and marketing background, as well as a strong understanding of operations in the property field. (Candidates with a bachelor in Land and Property Development/Management with a minimum of 10 years of
  • Property Management or Property leasing experience with at least 5 years of direct supervisory experience in the property retail leasing and marketing environment would also be considered)
  • Minimum 7 Years of Property Management experience in a managerial role in financial forecasting and budgeting
  • Strong project/organizational skills. Ability to think solution driven and out of the box
  • Computer literate, specifically Microsoft Office and especially MS Excel. MDA Knowledge would be an added advantage
  • Good interpersonal, communication and negotiation skills
  • Namibian citizen
  • Valid Driver's license
